Programming Awards– RSOs put on a variety of social events and educational programs throughout the year. These programs benefit our campus in an out-of-the-classroom experience focused on acclimating students to campus, serving the community, educating on cultural and diversity topics, or introducing groundbreaking, thought-provoking ideas. Homecoming ParadeÌýÌýEveryone loves a parade! BTÌìÌÃstudent organizations, departments, and community groups are welcome to submit parade entries.ÌýÌýJust want to watch the parade? Join us along Bruce Street and throughout the BTÌìÌÃcampus to view the festivities!
Trunk or TreatÌýÌýSign up your RSO for Trunk or Treat at the President’s house! You will be handing out candy to people from the trunk of your car.ÌýÌýÌýThe form closes on October 15th.

Meal Pack Volunteers NeededÌýÌýStart theÌýsemester off with a BIG impact by packing 100,000 mealsÌýforÌýkids around the world!Looking for a service event for your RSO? Check out theÌýFeed My Starving Children Meal Packing eventÌýonÌýSaturday, 9/27.ÌýMultiple shifts are available on Saturday, as well as setting up on Friday. Sign for a shift individually or as a group.Ìý

Trunk or TreatÌýÌýSign up your RSO for Trunk or Treat at the President’s house! You will be handing out candy to people from the trunk of your car.ÌýÌýÌýThe form closes on October 15th.

Updated Events PolicyÌý– Several members of UCA’s Division of Student Affairs and UCAPD worked with an outside consultant to review the RSO Events Policy. Updates are below:
Events will no longer be considered open or closed; rather, anticipated attendance will be “unlimited” or limited.

  • Unlimited Events:ÌýAttendance is restricted by the RSO and UCAPD’s discussions, and the number of available and trained event monitors.
  • Limited Events:ÌýThis is what we used to consider “closed.”ÌýAttendance will be capped at three (3) times the RSO membership, or membership of sponsoring RSO(s) only.

All events will have attendance restricted to BTÌìÌÃStudents, Faculty, or Staff unless they are on a guest list in advance.Ìý

There is aÌýfor you to review while the renewal process is open.
Primary ContactÌý– The person completing the renewal will be the primary contact. Primary contacts receive all contact requests by default. While this can be changed, it’s one of the things most often overlooked when a person is chosen to do the renewal.
RosterÌý–ÌýÌýbefore submitting your renewal. All past officers willÌýneedÌýto be untagged. If there are duplicate officers,Ìýthe renewal will be sent back for edits.Ìý
Training– Each President and Advisor is required to complete the AnnualÌýRSOÌýTraining on Vector Solutions. This completion must happen before the renewal is approved. The training can be found in theÌýExtra Training LibraryÌýsection of Vector Solutions.

Tips and Tricks

  • Wait to submit your renewal until youÌýknowÌýthe Fall officers.
  • KnowÌýwhat information you’d like to update before beginning the process; this way, you can complete it quickly.
  • Inform your advisor that they will be notified of the submission. They have the ability to review and make comments ifÌýneeded.
  • Complete the AnnualÌýRSOÌýTraining before you begin the process. The renewal will not let you advance without uploading the two required certificates.
  • All renewals are due by September 12th. Please do not wait until the last minute!

Event Visibility on CubConnectÌý– When you submit an event on CubConnect, your event visibility determines who can see it.ÌýPublicÌývisibility means that anyone, even people who are not logged into CubConnect can see it.ÌýOrganization-onlyÌývisibility means that only individuals in your CubConnect roster can see it.ÌýInvited users onlyÌýmeans that individuals have to be invited through an RSVP to see it.

J’Lun Herron (above left) formerly served as the Vice President of Finance for SGA and joins our team to primarily work with RSOs, The Bear Den, and CubConnect. J’Lun is beginning the graduate program for Mental Health Counseling in the fall.

Shreya Gopal (above right) previously served as the Order of Omega president and will be working with various leadership and service initiatives. She will begin the Speech Language Pathology graduate program in the fall.

Social Event DeadlineÌý– The last day to hold Social Events is April 27th. Any events registered after 11:59 PM TODAY (Thursday, April 13th) will be denied.
Summer events are allowed to happen and need to be registered, however they cannot happen on Study Day or Finals periods. The Summer Event period will end before move-in day.

Event Pictures on CubConnect – If you’ve been trying to post your event flyer with your CubConnect and info gets cropped out, the dimensions need to be 1300px by 780px and horizontal. The best sizing we’ve found for this is Facebook Cover in Canva.

RSO Renewals open April 10th!
Recognized Student Organizations on campus must complete a renewal each year to remain in good standing. Read below for all the requirements for a quick and efficient renewal process!
Recognized Student Organizations are afforded privileges for maintaining their Recognition status from year to year. Review those privileges on page 52 of the Student Handbook.

We have created a full step-by-step guide for you to review whileÌýthe renewal process is open.
Primary ContactÌý– The person completing the renewal will be the primary contact. Primary Contacts receive all contact requests by default. While this can be changed, it’s one of the things most often overlooked when a person is chosen to do the renewal.
RosterÌý– Check the current roster before submitting the renewal. All past officers will need to be untagged. If there are duplicate officers, the renewal will be sent back for edits.
TrainingÌý– Each President and Advisor is required to complete the Annual RSO Training on Vector Solutions. This completion must happen before the renewal is approved. The training can be found in the Extra Library section of Vector Solutions. () ()

Tips and Tricks
  • Wait to submit the renewal until you knowÌýthe Fall officers.
  • Know what information you’d like to update before beginning the process, this way you can complete it quickly.
  • Inform your advisor they will be notified of the submission. They have the ability to review and make comments, as needed.
  • Complete the Annual RSO Training before you begin the process. The renewal will not let you advance without uploading the two required certificates.

Broken LinksÌý– In the last couple weeks we’ve heard that the links in our emails have been broken. We should have fixed the problem, but please let us know if links still aren’t working! All past RSO Need to Knows are on theÌýÌýwith intact links.

Officer Transition ReportsÌý– Whether you elect and transition officers on a calendar or academic year basis, it’s never too early to start planning to set the next person up for success! We’ve created anÌýÌýfor use if you’d like some guidance on how to begin.
Event Wrap Up TemplatesÌý– Have a big event you’ve worked hard on and want to make sure the event goes just as well next time as it did this year? Create anÌýÌýfor future leaders to use as a guide. This plan can be added to each year to give historical information as well as how to create or replicate the event again.
CubConnect Case SensitivityÌý– If you’ve had any issues with CubConnect not recognizing email addresses in Reviewer fields, the case sensitivity issue has been fixed! Please let Student Life know if you encounter similar issues in the future.

Event EvaluationsÌý– CubConnect has a built-in evaluation feature for each event to help orgs gain insight into their attendees thoughts and feedback on the event. A simple 1-to-5 star rating system can be sent to attendees, or custom questions can be created to gain a more thorough understanding.
Event Monitor TrainingÌý– If your RSO is planning on holding social events throughout the rest of the semester, make sure your members are trained and you meet the minimum expectations of the RSO Events Policy. The training can be found on Vector Solutions for and under the Extra Training Library.
SolicitationÌý– Any RSO gathering donations through selling goods, accepting monetary contributions, or collecting items for further donation must complete a solicitation form and turn it in to the Student Center Office (SC 206). This includes, but is not limited to, tables in the Student Center or events around campus.

Involvement Awards – Each year BTÌìÌÃrecognizes our RSOs and student leaders for their hard work throughout the year. Review the Involvement Award categories and plan your nominations! The nomination form will open in March.
CubConnect Involvement RecordÌý– CubConnect keeps track of each user’s membership in pages, position assignments, and events attended. The Involvement Record is a great way to reflect on BTÌìÌÃinvolvement when applying to jobs or furthering education.
Event RSVPsÌý– You can build RSVP questions into your Event Submissions to gather information from your invitees. The information will be retrievable from the Manage Event page.
Leadership SummitÌý– Each year the Center for Leadership Development holds a one day leadership conference for students from Central Arkansas universities. Budget Requests – SAFA Budget Requests have opened on CubConnect. Make sure you get yours submitted before the February 16th deadline. Hearing sign-up information will be sent to the Request submitter after the request process closes.

RSO MailboxesÌý– Did you know Student Life provides mailboxes for RSOs at no charge? Assignments are made on a first come, first served basis. If you have one, make sure you’re checking it regularly in the Student Life Office. Not sure if you have one? We can help!
Manage your CubConnect EventÌý– Need to change something on a pending event submission? We can send it back to you for edits without having to create a new submission! Have a change after we’ve given approval? Edit the details from the event page.
Access CubConnect on your PhoneÌý– CubConnect has the same functionality as a computer when . You can even access Event Pass from the browser and save it to your wallet!
FundraisingÌý– Throughout the year, RSOs hold fundraisers to support their operations or for a specific cause. Make sure to read the BTÌìÌÃStudent Handbook (page 54) for guidelines as you begin to plan a fundraiser. It’s important to remember that raffles, guessing jars, and other games of chance are prohibited under Arkansas State Law.

SAFA – One of the ways to fund your organization is through the Student Government Association’s Student Activity Fee Allocation (SAFA) process. This semester’s SAFA process covers all Fall 2023 funding and are in early February.
